There are several ways to receive emails with Sitejet. In this article, we will introduce each method, explain the advantages of each, and show you how you can use them with Sitejet.

Basic knowledge

With Sitejet, you get an integrated email tool from which you can communicate directly with your customers. This eliminates the need for additional email software. The advantage for you and your customers is that all messages required for the project can be delivered directly to and from Sitejet. What is even better is that Sitejet recognizes which messages belong to which project on its own, and automatically sorts them according to the respective project.

Whether the domain is with Sitejet or with an external host, Sitejet can take care of email address management for you. If the domain is not with Sitejet, a so-called MX record is usually created. You can set this in your domain provider's DNS settings. For more information, please see our article on publishing a website.

Email addresses managed in Sitejet can be used with any standard email tool. Once you've created an email address with Sitejet, you can then send and receive emails by using our tool, as described in the "Webmail" section below, or by using external tools, which we will show you how to use in the "External Tools" section.


Set up to receive mails

In order for Sitejet to automatically sort emails from your customers to the respective project, simply follow these steps:

  1. Make sure your customers' email addresses are saved in "Customer data".
  2. Ensure that emails from your customers are sent to your Sitejet inbox email address, which can be found in the "Mail" section of Sitejet in the following format: "inbox+12345678@partner.sitejet.io".

We recommend that you set up a support email address - for example: "support@your-domain.com" - which you can list on your website or give directly to your customers. Then, set up a redirect to your Sitejet inbox email address for them. If you use Sitejet to manage your email address(es), the redirect can be set up in the customer portal.

Emails sent to your support email address from email addresses that are not stored in any of your projects can be found in the " Mail" section, where you can manually sort these emails and assign them to the respective project.


Webmail

We also offer our own webmail tool for email addresses created in Sitejet. With this tool, you can read, send, and reply to messages. You can find the webmail tool here: https://webmail.sitejet.io and learn more about Webmail here.

To log in, use your email address as your username (for example, "info@your-domain.com"). For the password, just enter the password associated with the email account.


External Tools

If you or your customer prefer to handle emails with external tools like Microsoft Outlook or Mozilla Thunderbird, then there are two settings to configure:

  1. Server settings for incoming emails (here you can choose between POP3 and IMAP)
  2. Server settings for outgoing emails (here SMTP data is necessary)

Incoming emails:

There are two standard protocols for receiving emails: POP3 and IMAP. 

POP3

POP3 sends the original email directly to the first device you use to retrieve the email from the server. Once retrieved, the email will then no longer be available on the server and cannot be retrieved by other devices.

IMAP

As more and more devices are accessing email accounts simultaneously nowadays, IMAP is the preferred protocol. With IMAP, the original email remains on the server and the devices used to receive the email get a copy.

  • 143 without SSL enabled

Outgoing emails

Here is the information for outgoing emails, which use the SMTP protocol.
